For rental companies and field teams

Rentals, deliveries and completed work, signed on the spot.

Documentas lets rental and field teams list every item in a table, have the customer accept the terms and get the agreement or sign-off signed on a tablet or phone where the work happens.

The paperwork

Out the door with a handwritten note.

Equipment leaves the counter with a carbon copy, a delivery is signed for on a driver’s clipboard, and a finished job is “accepted” in a phone call. When something is damaged or disputed, nobody can show what was agreed.

With Documentas the agreement, the handover and the sign-off are generated from a form on a tablet or phone, signed by the customer, and stored with every item listed.

A worked example

A scaffolding rental, from counter to return

  • At the counter: staff open the rental form on a tablet, add each item with its serial number and condition, and the customer accepts the rental terms.
  • On submit: the rental agreement is generated with every item listed and the customer signs on the tablet.
  • On return: a return form records the condition of each item, and the customer signs again.
  • If anything is disputed: both signed protocols are stored and searchable by customer.

Problems solved

Sound familiar?

The problemWith Documentas
“Nobody can show what was rented, or in what condition.”A signed agreement with every item, serial number and condition in a table.
“Finished work gets disputed.”A work-completion protocol signed by the customer on the spot.
“Subcontractors take weeks to onboard.”Invitations, an accepted code of conduct and an agreement countersigned by procurement.
Practical tips

Set it up the way it’s used

One tablet at the counter

Keep the rental form open on a counter tablet, so every agreement is filled and signed in the same place.

Describe the condition

Forms don’t take photos, so give the condition column a clear scale, such as new, good, worn, damaged.

Same table out and back

Use the same item columns for the rental and the return protocol, so the two documents compare line by line.

A link per technician

Technicians keep the work-completion form on their phone home screen and fill it in before leaving the site.
