Records and security

Proof of who signed what, and when.

Documentas keeps the signed file and the story behind it: every acceptance, every signature and every check, ready when an auditor or a dispute asks.

Documentas
A signed NDA in Documentas: both signers with signing times, the Simple Electronic Signature card with certificate and timestamp details, and the PDF preview with two drawn signatures
On every plan

A record for every step.

An audit log for every document

Each signer’s events (opened, reviewed, signed, declined) with date, time and IP address.

A timeline for every submission

Invited, email sent, started, documents accepted, answers saved, submitted, document generated, with times and IP addresses.

Proof of acceptance

Each review document a respondent accepted, with the time and IP address of the acceptance.

Signed files

Kept, checked and sealed.

  • Every signed PDF is copied into Documentas’s own storage, encrypted, with no expiry date
  • Its electronic signatures are checked automatically once the document is fully signed, and the result is stored
  • On paid plans, each signing seals the PDF with a Simple Electronic Signature certificate and a trusted timestamp, so any later change to the file shows

Your data, your rules

Delete the file, keep the record.

Retention-friendly deletes

Delete a signed or declined PDF under your data-retention policy. Who signed and when, and the stored signature check, remain.

Delete a whole form

Deleting a form removes its submissions, its documents and its attachments.

No broken links

A document still out for signature can’t be deleted, so no open signing link breaks.

Read-only access

The Viewer role sees every document, signer and check and changes nothing. It suits auditors and accountants.

Access history

Removed and revoked access is recorded, never erased, so you can see who had access.

Protected public links

A captcha on every public form link, an answer limit, and a link you can turn off or replace.

Questions people ask

Who is behind Documentas?
Actual Reports OÜ, the company behind PDF Generator API, which has built document generation and automation since 2012. Documents in Documentas are generated and signed on PDF Generator API’s infrastructure.
Is Actual Reports ISO 27001 certified?
Yes. Actual Reports OÜ, the company behind Documentas and PDF Generator API, is ISO/IEC 27001:2022 certified.
How long are signed documents kept?
Signed PDFs are stored in Documentas, encrypted, with no expiry date, until you delete them.
Can I delete personal data?
Yes. Delete a signed or declined PDF and a minimal signing record stays. Deleting a form removes its submissions, its documents and its attachments.
What does the audit log record?
For each signer: opened, reviewed, signed or declined, with date, time and IP address. For each form submission: invited, email sent, started, documents accepted, answers saved, submitted and document generated.
Can an auditor see documents without changing them?
Yes. Give them the Viewer role. They see every document, its signers, signing times, the audit log and the stored signature check, and can change nothing.
Are e-signatures from Documentas legally valid?
Yes, for most everyday agreements. Signers type, draw or upload their signature, and the audit log records who opened, reviewed and signed, with times and IP addresses. On paid plans, each signing is also sealed with a Simple Electronic Signature (SES) certificate, so any later change to the file shows. Together they give you evidence you can use in court. An SES is not the same as a qualified electronic signature, which some documents and countries require, so check the rules for documents such as property deeds or notarised acts.
