Client intake, engagement letters and statements of work, signed.
Documentas lets firms collect the client’s brief in a form, generate the engagement letter from the answers and get it signed by the client and the partner in one visit.

Before the work starts, the paperwork does.
Every new client starts with a questionnaire, an engagement letter, a data-processing agreement and, for agencies, a statement of work. They live in different tools, the letter is re-typed from the questionnaire, and the partner signs whenever the PDF reaches the top of their inbox.
With Documentas the intake form fills the engagement letter, the client signs it in the same visit, and the partner signs straight after. The client’s answers, the accepted documents and the signed letter sit together.
The documents, who fills and who signs
| Document | Filled in by | Signed by | How it works in Documentas |
|---|---|---|---|
| Client intake questionnaire | Client | Client accepts your terms | Personal invitation, details locked to the right contact |
| Engagement letter | Client (from the intake) | Client, then the partner | Your letter as the template, partner as company counterpart |
| Statement of work | Account manager with the client | Client, then the agency | Table of deliverables, hours and rates |
| Data-processing agreement | Client | Accepted as a review document | Acceptance recorded with time and IP address |
| Fee agreement | Client | Client, then the firm | Generated from the intake answers |

- The invitation: the firm invites the new client’s director, with the company registration number as the ID code.
- The visit: the director accepts the service agreement and the data-processing agreement, then enters company and owner details.
- On submit: the engagement letter is generated with those details and the director signs it straight away.
- Straight after: the managing partner gets a link and countersigns. The firm has the data, two accepted agreements and a signed letter.

Sound familiar?
| The problem | With Documentas |
|---|---|
| “We need the client’s details and a signed letter before we start.” | One intake form that generates the engagement letter and gets it signed. |
| “Our letter must also be signed by the partner.” | Company counterparts sign after the client. |
| “We handle paperwork for several companies.” | Separate workspaces under one login, with roles per company. |
| “Is the PDF the other side sent us genuine?” | Signature validation shows whether it is signed, valid and unchanged. |
Set it up the way it’s used
Scope in the letter
Put the client’s scope, budget and start date into the engagement letter as fields, so the signed letter states what was agreed.
Agreements as review documents
Attach your terms and DPA for the client to accept before the questions, instead of asking for separate signatures.
Invite, don’t publish
Use personal invitations for clients, so the name and email are locked and the answers belong to the right contact.
Check what comes back
Run signed PDFs from the other side through signature validation before filing them.
What makes it work
Documents from answers
Every form submission becomes a finished PDF from your own template, signed by the respondent and your company.
