Every NDA and release on set, signed by both sides.
Documentas gives each production one form link: every person enters their details and signs the document generated for them, and the production’s signatory countersigns afterwards.

A hundred people, a hundred NDAs.
A shoot brings in crew, extras, visitors and talent, often on short notice. Each of them needs an NDA the production also signs, and anyone on camera needs a release. On paper, the producer signs a stack at the end of the day, and the one release you need later is missing.
With Documentas each person signs their own generated NDA on their phone, and the production’s signatory gets a link only after they have. Releases are signed on the spot and stored with the rest.
The documents, who fills and who signs
| Document | Filled in by | Signed by | How it works in Documentas |
|---|---|---|---|
| Crew and visitor NDA | Crew member or visitor | Person, then the production | One public link per production, producer as company counterpart |
| Talent release | Performer | Performer, then the production | Generated with the person’s details and the shoot dates |
| Model release | Model | Model | Signed on set from a phone |
| Location release | Property owner | Owner, then the production | Location details and dates as fields |
| Extras registration | Extra | Accepts the set rules | Answer limit per shooting day |
Shooting day, NDAs before the first take
- The week before: the production uploads its lawyer’s NDA as the template and creates one form for the shoot, with the producer as company counterpart.
- Call sheet: the form link goes on the call sheet as a QR code.
- At the unit base: each person scans it, enters their name, email and role, and signs the NDA generated for them.
- Through the day: the producer gets a link for each NDA once the person has signed, and signs from their phone between takes.

Sound familiar?
| The problem | With Documentas |
|---|---|
| “A hundred people on set, a hundred NDAs.” | One link. Each submission generates its own NDA, signed by the person and countersigned by the production. |
| “Our producer signs NDAs that nobody else has signed.” | Counterparts are emailed only after the other person has signed. |
| “We can never find the signed release.” | Every signed document stored in Documentas, searchable by name or email. |
Set it up the way it’s used
One form per production
A separate form per production keeps each NDA tied to the right project name and the right signatory.
Name the project in the NDA
Add the project name as a field or fixed text in the template, so every NDA states what it covers.
Two signatories, if needed
Add up to three people from the production as company counterparts, for example the producer and the line producer.
Close it when you wrap
Close the form at the end of the shoot. The signed NDAs and releases stay on file.
