For event organisers, clubs and gyms

Waivers, registrations and memberships, on any phone.

Documentas lets organisers send one link or QR code: participants register, accept the terms and sign their waiver before they arrive, so check-in takes seconds.

The paperwork

The queue starts at the clipboard.

Every climbing session, race, camp or workshop starts with the same paperwork: who is coming, what they need, and a waiver they agreed to. On paper it means a queue at the door, half-legible forms and a box of waivers nobody can search when something happens.

With Documentas the paperwork moves before the event. Registration closes itself at the number of places, and each participant arrives with a signed waiver already on file.

Registrations people finish

We noticed that more people finish the registration when the form is short and clear.

An award-winning coworking space in Brno gives every event its own registration link and follows sign-ups in real time.

A worked example

A Saturday climbing session, paper-free

  • Two weeks before: the booking confirmation carries the registration link, capped at 24 places.
  • On registration: each climber accepts the gym rules, enters an emergency contact and signs the waiver on their phone. Parents register children and sign for them.
  • The day before: the submissions list shows who has registered and who still needs to sign.
  • At the door: check names against the list. Every waiver is already stored and searchable.

Problems solved

Sound familiar?

The problemWith Documentas
“Paper waivers at check-in cause queues and get lost.”Waivers signed on participants’ phones before they arrive, stored and searchable.
“We always overbook.”An answer limit equal to the number of seats.
“Public forms attract spam.”A captcha on the public link, and a link you can turn off or replace.
“We can’t find last year’s waiver.”Search every signed waiver by name or email.
Practical tips

Set it up the way it’s used

Keep registration short

Ask only what you need on the day. Clubco found that more people finish a short, clear form.

One waiver per person

Let each participant sign their own waiver; for a family, the parent fills in each child’s details and signs.

Print a QR code

Put the form link on posters and confirmation emails as a QR code, so latecomers can sign at the door on their own phone.

Close it after the event

Close the form when the event ends, so the link can’t take answers for a date that has passed.

FAQ

Questions people ask

Can people register and sign in one go?
Yes. One form can collect the registration and generate a waiver that the participant signs straight after submitting.
Can we take payments for tickets?
No. Documentas forms don’t take payments; use your ticketing tool for that and link to the form from the confirmation.
Can a parent sign for a child?
Yes. Collect the child’s details in the form and the parent signs as the respondent.
What happens when the event is full?
The form stops taking answers at the limit. Raise the limit if more places open up.
How long are the waivers kept?
Signed waivers are stored with no expiry date until you delete them, for example under your retention policy.
