For schools, kindergartens and course providers

Consent, enrolment and agreements, from every parent.

Documentas lets schools send each parent or student their own link to answer, accept and sign, and shows who has responded without counting paper slips.

Documentas
A respondent reviewing their answers and accepted terms before submitting a form
The paperwork

Thirty slips out, twenty-two back.

A school year runs on consent: photos, trips, medication, the school rules. Each one goes home as a slip, some come back, and a teacher spends the week before the trip chasing the rest.

Course providers have the same problem with enrolment: a form, a study agreement and a registrar’s signature, often re-typed from one to the other. Documentas gives each parent or student a personal link and shows who has not answered yet.

A worked example

A class trip, permissions in two days

  • Day 1, morning: the teacher creates the trip form with the itinerary as a review document and invites the 28 parents of the class.
  • Day 1, evening: parents open their personal link, accept the itinerary, add allergies and sign on their phone.
  • Day 2: the submissions list shows six parents still Invited. The teacher resends to them in one click.
  • Trip day: every permission and medical note is on one list, and each signed consent is stored.

Problems solved

Sound familiar?

The problemWith Documentas
“Consent slips never come back.”A personal invitation to each parent, with a status per person and a one-click resend.
“We retype enrolment forms.”Answers fill the study agreement automatically.
“The registrar has to sign every agreement.”Company counterparts sign after the student and are emailed only then.
Practical tips

Set it up the way it’s used

One form per class

Each form takes up to 200 personal invitations, so one form per class or year keeps lists short and statuses clear.

Lock the child’s name

Invite parents with their own details and add the child’s name as a field, so every answer is tied to the right family.

Reuse the wording

Keep the consent wording in a template and copy it for each trip, so the legal text stays the same every time.

Delete at year end

Delete the signed consents when your retention policy says so. A minimal record of who signed stays.

FAQ

Questions people ask

Do parents need an account?
No. Each parent gets a personal link and answers and signs in the browser.
How many parents can we invite per form?
Up to 200 personal invitations per form. Use one form per class or year for more.
Can both parents sign?
Invite each parent separately, or collect the second parent’s details in the form. Each invitation produces its own signed consent.
Can teachers see answers without changing anything?
Yes. Give them the Viewer role: they see every submission and change nothing.
Can we keep consents for the school year and then delete them?
Yes. Signed consents are stored until you delete them, and a minimal record stays after deletion.
