A signed NDA in Documentas: both signers with signing times, the Simple Electronic Signature card with certificate and timestamp details, and the PDF preview with two drawn signatures
How it works

Three steps to send.

01

Upload

Choose a PDF. The document name is filled in from the file name, and you can change it.

02

Add signers

Add the people who need to sign: name, email and an optional ID code, such as a personal ID or a company registration number. Save a draft and come back later.

03

Review and send

Check the signers next to a preview of the document, then send. Each signer gets an email with their own link.

What your signer sees

Sign on any device, their way.

Signers check their details, read the document, confirm they’ve understood it and add their signature: typed, drawn or uploaded as an image. Or they decline.

  1. A signer on a phone checking their name, email and ID code, with Decline and Continue buttons

    Check your details

The signer opens their link and confirms their name, email and ID code. They can decline here.

  2. A signer on a phone reading the generated NDA before review

    Read the document

The whole document, on any screen, with zoom. Nothing to install.

  3. A signer on a phone confirming they have read and understood the document

    Confirm it’s understood

One tick: “I confirm that I have read and understood this document.”

  4. Adding a signature on a phone: type, draw or upload an image, with a drawn signature on the pad

    Sign your way

Type the signature, draw it with a finger, or upload an image of it.

  5. Document signed on a phone, with the signature logged in the audit trail and every digital signature shown as valid

    Done, and on record

The signature is logged in the audit trail. On paid plans the document is digitally sealed.

FAQ

Questions people ask

Do signers need an account?
No. Each signer gets a personal link by email and signs in the browser, on any phone, tablet or computer. There is nothing to install.
How do signers sign?
They open their link, check their details, read the document, confirm they have read and understood it, and add their signature. They can type it, draw it with a finger or mouse, or upload an image of it.
Can I add my own company’s people as signers?
Yes. Add anyone as a signer, from your company or outside it. All signers of an uploaded PDF get their links at the same time.
What if someone doesn’t sign?
Resend the email in one click, or copy their signing link and send it another way, such as chat or SMS. Reminders are a manual click.
What happens when everyone has signed?
Every signer gets the signed document by email, with a link that stays open for 30 days. Documentas keeps the signed PDF, encrypted, with no expiry date, and checks its signatures.
What is the Simple Electronic Signature?
On paid plans, each signing seals the PDF with a certificate and a trusted timestamp, so any later change to the file shows. The document then shows a verdict for each signature.
Can I delete a signed document?
Yes, for example under a data-retention policy. The file goes and the record of who signed and when stays. A document that is still out for signature can’t be deleted, so no open signing link breaks.
